Payment Submissions – Do Not Use Adobe Sign
Beginning in April 2023, SPA centralized its expenditure process in order to allow for better tracking and efficiency. Rather than submitting payment and purchase order requests to individual SPA contacts, we now ask that these requests be sent to spa-admin@csus.edu. To prevent delays in processing, please submit requests as email attachments rather than via Adobe Sign because logging into an additional system to access the information slows down the process and there may be elements that need to be changed or added to the document before SPA approval can be provided.
VOH Postponed Until Fall – Virtual Front Desk Available
Effective May 30, SPA analysts have temporarily discontinued their Virtual Office Hours (VOH) throughout the summer break to focus on year-end financial activities, training of new staff, and addressing urgent and ongoing matters. SPA Analysts are available to meet upon request; contact your Analyst directly to schedule a time.
An additional session of the SPA Virtual Front Desk will be held each week to assist with inquiries. In addition to being held on Wednesdays from 9:00 am-10:00 am, the Virtual Front Desk will also be held on Mondays from 2:00pm-3:00pm. The Virtual Front Desk is intended for general questions or to inquire about your account. As a reminder, you will enter a virtual waiting room and will be assisted in the order you arrive. You may also stop by the sponsored programs office on the third floor of the Hornet Bookstore, email sp@csus.edu, or call (916) 278-7565 for assistance.
Office Hours and Upcoming Closures
University Enterprises and campus are on summer hours. We are open Monday through Friday, 7:30 am to 4:00 pm through August 18. Our offices will be closed on the following days during the summer months:
- Monday June 19th – Juneteenth
- Tuesday July 4th – Fourth of July
Welcome New SPA Staff
Please join us in welcoming three new staff: Michelle Kumar, Sara Chuyangheu, and Abir Mirza. Michelle and Sara recently joined the SPA team as Compliance and Grants Analysts. Michelle joins the team supporting the College of Arts and Letters, EdInsights, the Library, and the College of Continuing Education. Sara joins the team supporting the College of Engineering and Computer Science, the College of Business, and OWP. Abir joined the department as Contracts Counsel, a newly created position.
Training is underway for new staff. Analysts are familiarizing themselves with their account portfolios and will have introductory meetings with Principal Investigators throughout the summer and into fall depending on PI availability.
Contact information for new and existing SPA staff is located on the About Us page of the SPA website. You may begin contacting your newly assigned Analyst. Please note that they may not be able to independently manage your request initially, but they will be able to facilitate the process and keep you informed.
UEI Project Administration Guide
Sponsored Programs Administration (SPA) will soon have an online project administration manual available for use. This guide is designed for Principal Investigators, Project Directors, and other project administrative staff. It contains information on various UEI and post award administration processes. The guide is a “dynamic document” and will be updated as regulations, requirements, and needs change. The manual will be available this summer. A separate email specifically announcing the posting of the guide when it is live will be sent to the recipients of this SPA Updates newsletter.
